TechSoup Canada is the Canadian partner of TechSoup Global. TechSoup Global is a worldwide network of individuals and organizations with the main headquarters in San Francisco. In Canada you can find us at CSI, in Toronto. The Donations Program started as early as 1987 with one person in San Francisco going around in a van and asking technology companies for free software and hardware donations. Now this program has grown to include more than 25 donor partners, over 300 donated technology products in 35 different countries. Our priority is to not only help organizations gain access to these donations but also to help empower organizations with knowledge and resources on how to use technology.

As we mentioned, we have over 25 product donors with some of the biggest technology companies Alpha Software – an easy-to-use, world-class database software to build custom applications to better and more effectively manage agencies. Bytes of Learning- Software to help you learn computers- customized to meet nonprofits needs ICWFD: The International Commission on Workforce Development (ICWFD) – an e-Skills360° global initiative to address the key barriers to accessing e-learning through high-end technology. It provides access to more than 500 certification-level IT and professional development courses. GiftWorks- fundraising and donor management software is designed specifically for the needs of nonprofits. Concentric- provides Web hosting, email, domain names, and more. eTapestry.com is the first Web-based donor database and communications management system that rents its software to customers who access it over the Internet.

To gain access to the donations program, you must first join TechSoup. To do this, register your organization on our website. You will see a big red button on the left hand side of our website. Click the link and complete the registration form. To view or edit your registration information, log in and click the My Account link at the top of any page.
Registration is a three step process: 1. First you will need to Register with Techsoup 2. Submit your qualification documents 3. Request Products- here we will go into more detail on eligibility for our donor partners
Because each donor program has unique guidelines and requirements the registration process requires an initial investment time and patience, but once completed, you will not need to register again. To save time, and reduce confusion--we recommend using our registration worksheet, to help guide you through the online registration process.

To help you get started, here are some information you will need for the registration form: Main contact person for the product donations program. Your organization’s legal status: Canadian charities and libraries: You will need to submit your tax ID Registered federal or provincial nonprofits: Your business registration number (it will be on your letters patent) Type of activity that best describes what your organization does Primary contact at your organization, (please note, this should be different from the primary contact for the product donations program) The legal and common name for your organization. Annual operation budget for your organization.
To help you get started, you can download our registration worksheet . to help you collect information before you register online. You will find that in the “Getting Started Menu” under Register Your Organization.
Create a unique username and password. This will be your login information. Make sure the username is memorable and at least 6-10 characters in length, using a combination of letters and numbers. Do not include spaces or special characters such as apostrophes. The e-mail address is not made public and will be used only if you wish to receive a new password, or to receive news or notifications by e-mail. We recommend that you store this information in a safe place. This information should be accessible by more than one staff at the organization incase the responsible staff is not available or leaves the organization.
The type and activity of your organization are used to determine your organization’s eligibility with respect to each donating partner’s program guidelines. You will need to indicate whether your organization is a nonprofit organization or a registered charity. If you are unsure, we recommend you check ahead of time as this can impact what programs your organization are eligible for.
To expand each grouping, simply click on the “+” to expand the list. As an example, we have expanded “Cultural, Historic” If you are unsure of which activity type you should use, we recommend that you select the best fit, then fill in your mission statement (which we will cover later on in the webinar.) The more information we have on file, the better we can help you to determine the best activity type for your organization. An organization's mission is determined through the type and subtype selected during registration. The available types and subtypes are listed in the Organization Types and Subtypes page. The first type in the list, Religious Activities, should be used by organizations whose primary mission is religious.
This should be the general contact for the organization This email will be used to send information about your organization’s product donations, including product keys needed for registration. We recommend using a different email address than for your TechSoup Canada account. This would be an alternate way for us to reach your organization.
If you are a registered charity, you should enter your registered charity number from the Canadian Revenue Agency (e.g. 123456789RR0001 ). If you are a registered federal or nonprofit organization or library, please enter your business number(from your letters patent). Please note that you will be asked to fax-in your supporting documents after registration.
This should be the name of the organization as it would appear on your legal documents. Only letters, numbers and spaces are allowed. Please note '&' not allowed. The Legal name allows us to verify your charitable status and match it with your supporting documents. (No Post Office Boxes) We require a street address, we cannot deliver to a PO Box.
Please enter your organization's approximate annual budget. This information is a requirement of our donor partners. Please enter only numeric digits 0 through 9 in this field, and no letters or other characters. For example, enter "5000000", not "$5,000,000". This figure should not reflect a sub branch budget or a IT budget, but the budget of your entire organization.
This information is required by our donor partners for eligibility purposes. I am willing and able to provide evidence that my organization is non-exclusionary and non discriminatory . If you are a religious organization, you may be asked to submit an additional questionnaire.
Providing additional information helps us to gain a better understanding of the programs and services of your organization. This will help us to determine your eligibility for over 25 of our donor programs. This would also be useful for our team if you would like to be re-considered for a particular donor program. Essentially, the more information we have about your organization, the better we will be able to serve you. At the end of the registration process, you will be asked to submit verification of your organization's 501(c)(3) status. In addition to any other documents requested, you should also submit the Faith-Based Organization Secular Questionnaire .
Nonprofits and charities qualify for most of our donation programs. But please note that in addition to being registered each of our donors have their own eligibility criteria and guidelines. As accountability to our donor partners, we require that you show proof of your nonprofit or charitable status. After you have completed the online registration, please fax the necessary documents at your earliest convenience to speed up the qualification process.

This is a manual step, and therefore can be time consuming. We ask for your understanding on the amount of time that it may take to complete the qualification process. In our experience, it’s probably faster to log-in and check on your status than to email or call customer service. We are currently working to increase our customer service resources.
This is a crucial part of the ordering process, as many of our donor partners have restrictions on how frequently organizations can place an order request. Planning ahead will prevent you from exhausting your order amount pre-maturely.
Please note that each individual donor partner has their own eligibility rules, so it is recommended that you note which donor programs you qualify for and are interested in before checking the specific eligibility rules.

Any organization that advocates, supports, or practices discrimination based on race, religion, age, ethnicity, national origin, language, size, gender, sexual orientation, socioeconomic background or disability, is not eligible to participate in this program. Organizations must be willing and able to confirm that they do not discriminate on any of these grounds in order to receive a donation.

You can search two ways- by in you can search donations by Category or Donor name- or use our search button. This drop down list only appears after you are logged in. Useful to search by “Product Type” for Donor Partners with a lot of products- like Microsoft.

Basically, you can request six individual products and up to 50 licenses for these products every two years , but you can only place a request once each year. And, unlike most of our donation programs that are aligned with our fiscal year (July 1-June 30), your "Microsoft request year" starts on the date of your first order. In this order= they have purchased: 1. They ordered one title- a “title” is a product, eg: “office professional plus” 2. They have a minimum of 5 “seats” or licenses- here they have ordered 7- they could order 43 more licenses OR four more titles. BUT THEY HAVE TO WAIT ONE YEAR from the time of this order. This is why planning out your needs is crucial.
This organization has maxmized their order for the year. They have: 50 licenses of CAL (1 title, max 50 licenses) 1 Windows Server (1 title, 1 license allowed) 50 Windows 7 upgrade (1 title, max 50 licenses) 10 Windows Multipoint Server Cal (1 title, minimum of 5 licenses, they have 10- could purchase 40 more licenses following year…) 1 Windows Multipoint Server ( 1 title, 1 license) Total= 5 “titles” and up to 50 licenses per title, except for servers, where 1 title=1 license. This is where its important to plan ahead or get someone with IT expertise to help you identify all your tech needs for the year.

Now that you have selected and added all the products you need to your cart- you can check out. Please note- you can only add products to your cart one donor at a time.
What happens at this stage exactly?
At checkout, you will be provided with a summary of your order and confirmation of your delivery address. If you are satisfied w/ your order, you can then proceed to payment where you will be requested to provide credit card information via PayPal to TechSoup Canada. A PayPal account is not required for online payment, although you have the option of logging into your PayPal account for faster service. Please note by default we are only offering paypal for online payment. We are working on bringing more options in the future. You don’t need a paypal account to order. In some cases, if you run into issues with paypal. Please contact our customer service rep to see if you can pay by cheque. We do not enable this by default due to the manual procedures involved. We thank you for your understanding.
Once you have checked out, you will be taken to the Paypal site for payment. This is a secure site . You do not need a Paypal account to pay for the orders. You can simply select “continue”. The benefit of having a Paypal account is so you won’t have to type your credit card info each time.
The payment process is pretty standard, again, if you have issues with Paypal, please contact the TechSoup Canada Customer Service Team.
Once your order has been accepted and processed, the normal turnaround time for license requests is up to 14 days. You will receive: 1. Microsoft product media (ie: CDs) delivered by mail. 2. An email advising you that your Open License order has been accepted and processed by Microsoft, which will include: Your Authorization and License Agreement numbers. Directions on how to download licensing agreements from the Microsoft eOpen website. Product license key codes that can be used with the media to install the software. Please note that the Software Assurance for Microsoft expires after 2 years, but your licenses do not expire- Software Assurance is a Microsoft program that allows recipients to upgrade licenses to any new release of eligible products within two years of the initial request. This means free upgrades for software that comes with Software Assurance within this two-year period. Software Assurance replaces the need to request upgrades for your organization's volume licenses.
