Hi, my name is Rick Hinton and I head up Portal Solutions Products and Solutions group. So I focus on building industry specific and business process focused applications that run on the sharepoint platform. Our next product release is a task management and project reporting solution that we think we really be a game changer in the sharepoint space.
Lisa Ruff is Business Development Manager for Mobile Entrée. Mobile Entrée is the industry’s first SharePoint-integrated development framework for mobile applications that allows cross-device support. Mobile Entrée is made by H3 Solutions. So when we talk about the Digital Workplace we are really talking about using all these new forms a collaboration and communication to get you get your work life organized, to be more productive, more effective and less stressed.
We define the Digital Workplace as an environment where employees are able to quickly and easily share what they know and find what they need with consistent experiences across devices and locations.
So what does this transformation to the Digital Workplace. There are three major areas of impact or trends that we are seeing and mobile is obviously part of the equation.
Starting from current state – we’ve done a great job converting everything into digital form. We have documents in share drives, in a sharepoint library, and all too often siting on the hard drive of our laptop. Communication is primarily in the form of email, and to lesser extent instant message. All this great digital content is spread throughout the organization and not particularly findable and shareable. The analogy I like to us is it’s a kind of like a manufacturing firm that keeps physical inventory where each employee chooses where to store the finished product – some stick it under their desk, some in a closet, and half of them take it home with them. Tough to run a business like that. Imagine if you’re the one dealing with customer orders and communication delivery status. [click]
What we want to do is get to a point where we things are not just in digital form but have a digital identity – think smart content. So we are talking about documents that can tell you what they’re about and where they are located, people (with identities) with certain expertise and knowledge, entities like projects that also have identities with certain characteristics and a collection of knowledge, and tasks that been completed in the past that may be exactly what your are working on now. So returning to the manufacturing firm example, think everything has an RFID transmitter so it doesn’t matter where you put it, everything is automatically replicated to central repository so it doesn’t matter that took it home, and everybody is connected and able to “broadcast” their status, availability, and what they are working on. So in this world all the people are accessible as well as the work product or content. [click]
So when we talk about accessibility the current state is basically using a laptop from you home office or perhaps just at work and accessing email through your phone. Future state is about expanding beyond email, taking advantage of the capabilities and portability of smartphones and tablets to be more productive. Provide quick status updates to prevent having to constantly be in meetings, approve a request via automated workflow, view project metrics and issues to quickly determine if there are problems that need to be addressed. The key here is to focus on specific use cases like these that may lend themselves to a mobile experience. [click]
Finally, the digital workplace is really about understanding context so current state things are typically organized around the type of content – communication is in your email inbox, documents in a library, etc. The key take away here is that going forward these things will be organized around job-specific tasks not types of content or communication- controlled and organized by you, the user. Think how folks consume content in the home now, they are much more in control of what they see – compare basic cable to streaming shows or movies from Netflix or Apple TV. So in the past we focused on organizing your content, in the future it’s about organizing your work.
So, let’s start to define the problem more specifically.
Within emails are documents that need to be reviewed and tasks that need to be done. People’s work is in email, that is why they go there.

Email as primary means of communication/ collaboration.
So what’s the potential impact of not getting this right. Or, your competitor getting it right and not you. We like to start with employee engagement as metric to consider and think about the digital workplace in terms of its impact on the overall employee experience.
