Pardot’s Knowledge Base is incredible and has detailed instructions on configuring the
salesforce.com Connector; however, I’ve found non-salesforce.com administrators
sometimes struggle with this documentation—it’s sparse on screenshots.
I decided to rectify this: I’ve taken Pardot’s excellent documentation, added lots of my own
screenshots, and some commentary—creating an instructional, tutorial deck that you can
have open as you configure the integration. Enjoy!

Before You Begin…
Before you begin, make sure you understand the nuances of activating your
CRM Connector: http://www.pardot.com/faqs/best-practices/things-to-knowbefore-activating-your-crm-connector/
I would highlight the following about the salesforce.com Connector

Pardot uses email address as unique identifier
salesforce.com will be the database of record (except for a few Pardot specific fields)
Prospects must be assigned a user to be automatically created in salesforce.com.
Leads and Contacts in your salesforce.com account prior to the integration, must be
exported from salesforce.com and imported into Pardot.

To allow Pardot to make API calls to your salesforce.com instance, you must grant
access to Pardot‘s IP Addresses. Let‘s start!
1. Log into your salesforce.com administrator account: https://login.salesforce.com/

1. Log into Pardot: https://pi.pardot.com/

2. Hover over Admin in the navigation bar. Then click Connectors in the resulting
dropdown. Lastly, click on + Add Connector button.

Select salesforce.com from the list of vendors.

4. Enter a name for the connector that will only be used internally (e.g.
―salesforce.com Pardot Connector‖)

5. Enter your salesforce.com Username and Password.
– Note that if your salesforce.com password changes, it must be changed here as well
to maintain the connection. At a minimum, the connector user entered needs to have
access to the following in salesforce.com:
• Create, update, and read all leads
• Create, update, and read all contacts
• Create all tasks
• Read all users
• Read all campaigns
• Read/write Change Log object

From here, you can click Create connector button to save the new connection, but
you will likely want to choose some optional salesforce.com-specific settings in the
connector first.

Automatically create prospects in Pardot if
they are created in Salesforce.com

This enables a trigger to set any newly created leads or contacts in
salesforce.com to sync down to Pardot. This won‘t happen for historical leads or
contacts, only those created after installing the Pardot AppExchange package in
salesforce.com, and will only work for leads and contacts created with an email
address. If this feature is enabled later on, any leads and contacts with email
addresses that were created after the Pardot package was installed in
salesforce.com will be pushed down to Pardot. Select a Default campaign from
the dropdown for any prospect created with this option.

Automatically change emails in Pardot to
reflect changes in salesforce.com

If a email address of a lead/contact is updated in salesforce.com, the Pardot
prospect will be updated to reflect this change.

Exclude salesforce.com ―Partner‖ and
―Customer Portal‖ users from Prospect
assignment

his option will exclude salesforce.com Partner and Customer Portal users from
displaying in the ―CRM Username‖ dropdown when you edit a user in Pardot.

Allow editing of Prospect lists within the
CRM

Checking this box allows CRM users to add/remove prospects from Pardot lists
from within the CRM. If you check this box, you must add the VisualForce
elements to your Lead and Contact page layouts.

Connect to a salesforce.com sandbox
account

This option gives you the ability to connect to a salesforce.com sandbox
account.

Sync emails with the CRM

This automatically logs an activity for every email sent to a prospect (list, drip, autoresponder
and 1-to-1 prospect emails). NOTE: This can quickly fill up your activity views,
especially on an account object. Disabling Email Logging in Pardot is not
retroactive. If you sense that the email logging might interfere with your workflow in
salesforce.com, it is recommended that you do not enable ‗Sync emails with the CRM.‘

Sync plugin emails with the
CRM

This logs an activity for any emails your users send via Pardot for Microsoft Outlook, our
Thunderbird extension, our Apple Mail plug-in, or our add-in for Gmail.

Enables salesforce.com to send a notification email to your user when a task is created.

Enables salesforce.com to send a notification email to your user when assignment rules run.

6. When finished, click Create Connector button.
7. Your salesforce.com connector will now appear in the connectors table. It
automatically saves as Not Verified. Click Verify Now to deploy the connection.

If Pardot is able to successfully send and receive data to and from salesforce.com, the status will
change to checkmark denoting a proper integration.

The Pardot connection with salesforce.com requires that certain custom fields
and scripts be in place in order for Pardot to leverage the salesforce.com API
most efficiently.
Keep in mind, salesforce.com limits API usage based on edition type–
specifically, the number of API requests (or calls) that an organization may
execute concurrently or within a 24-hour period.
You can contact the Pardot Solutions team (click the ―Support‖ tab on the left or
the ―Contact Support‖ button on the right) if you feel that you may not have
enough API calls available to your organization to sync frequently with Pardot.

Mapping your Lead Fields to Contact Fields
Pardot naturally creates new Leads in salesforce.com; when you convert that Lead
to a Contact, the Contact may not show all data from the Lead record unless you
make sure to first map your Lead to Contact fields in salesforce.com.

1. In salesforce.com, click Setup in the top navigation.

2. Click Customize in the resulting left navigation. Then, click Leads to expand the
navigational menu. Lastly, click Fields in the sub-menu.

3. Scroll down to your custom fields and click Map Lead Fields.

4. Choose the corresponding contact fields (denoted by ―Contact:‖ before the field
name) from the drop down. Click Save to retain your selection.

Installing the AppExchange application will setup the fields for you but not display
them by default. To have the Pardot fields display you will need to edit some of your
salesforce.com settings.

This section will walkthrough configuring for the Lead Layout Page. You will
also need to replicate the exact process for the Contact Layout Page.

1. In salesforce.com, click Setup in the top navigation.

2. Click Customize in the resulting left navigation. Click Leads to expand the
navigational menu. Click Page Layouts. Lastly, choose the Lead Layout to edit.

3. On the Lead Page Layout, a drag-and-drop box containing all of your field
options will appear at the top of the page. Drag a Section field on to your lead
layout page.

In the pop window, enter ―Pardot‖ for the name of the Section. Select 2
(double) for the number of columns and check the checkboxes for showing
section heading. Click Ok.

Return to the Fields section of the drag-and-drop editor and scroll right to
locate the Pardot custom fields.

Drag all the Pardot Fields into your new section. These include Pardot Score, Pardot
Grade, Pardot URL, Pardot Campaign, Pardot Created Date, Pardot First Activity, Pardot Last
Activity, Pardot Comments, and Pardot Notes. There are also several fields you can drag in for
Google Analytics if you are using the Google Analytics Connector.

All of the Pardot fields have been added! Let‘s add the Visualforce sections now.

Use the drag-and-drop editor to create another section on your Layout.

2. In the pop window, enter ―Pardot Activities‖ for the name of the section, select 1
(single) for the number of columns, and uncheck the checkboxes for showing
section heading. Click Ok.

3. Click on the Visualforce Pages tab and drag the Pardot Lead Activities into your
new section.

5. In the pop window, enter ―Pardot List Membership‖ for the name of the
Section, select 1 (single) for the number of columns, and uncheck the
checkboxes for showing section heading. Click Ok.

6. Click on the Visualforce Pages tab and drag Pardot Lead List Membership into
your new section.

8. In the pop window, enter ―Pardot Social Data‖ for the name of the section, select
1 (single) for the number of columns and uncheck the checkboxes for showing
section heading. Click Ok.

9. Click on the Visualforce Pages tab and drag Pardot Social Data into your new
section.

The Visualforce Pages have been added! Let‘s complete the Lead Page Layout by
adding the buttons.

1. In Lead Layout box at top of page, select Buttons. Select the ―Send Pardot
Email‖ button and drag it into the section labeled Lead Detail at the top of the
layout with the other grayscale buttons.

The ‗Send Pardot Email‘ button allows your salesforce.com users to send a
Pardot tracked email from inside of salesforce.com.
The users can send a free form tracked email or use a marketing approved
Pardot email template to send to a lead or contact.

3. In Lead Layout box at top of page, select Buttons. Select the ―Send to Pardot‖
button and drag it into the section labeled Lead Detail at the top of the layout
with the other grayscale buttons.

The ‗Send to Pardot‘ button makes it easy to add salesforce.com leads or
contacts to Pardot if they do not already exist there.
It will create a new record in Pardot, based on email address, and update all
corresponding data points.
If the record already exists in Pardot, no harm done — it will not create a
duplicate but will simply sync.
If you have the setting to ―Automatically create prospects in Pardot if they are
created in Salesforce.com‖ you may not want to have this button installed.

After completing the fields, Visualforce Pages, and button, select Save at the top of
the Lead Layout box.

You mapped the Lead Page layout!
Now repeat this whole process for the Contact Layout Page.

You may need to add more height to the Visualforce Pages. To do this, click on
the wrench icon at the top right corner of the section to access the section
properties. Enter 350 for the height of Pardot Lead Activities.

Associating CRM usernames with a Pardot has two major functions: allowing for
Single Sign-On (SSO) between Pardot and salesforce.com, and allowing any
actions that the Pardot connector user takes to be attributed to that user.
1. In Pardot, Hover over Admin. Then click on User Management, and lastly click
on Users.

2. Click on the gear icon to the far right of the appropriate user. Click Edit.

3. Scroll down to the bottom of the Edit User box, right under Time Zone.
4. Select the appropriate salesforce.com user from the CRM Username drop-down
menu. (The CRM username and the Pardot user account you are editing should
be the same person.)
5. Click Save user. Repeat for all users in Pardot that have a corresponding
salesforce.com user.

Single Sign-On
It is important to set up your salesforce.com/Pardot single sign-on as it enables
the users to transfer seamlessly between the CRM and Pardot without needing
to log into both.
This also prevents salesforce.com users from having to enter their Pardot
username and password in order to view an iframe in a lead or contact record.
Administrators can enable single sign-on for their users in Pardot, either through
user import, at the individual user level, or by following the next steps. Keep in
mind, when using these steps, users will not be able to access Pardot directly–
they must gain access to Pardot through the CRM.

Go to Admin > User Management > Users.

Use the checkboxes on the left side of the table to select all users you wish to
enable single sign-on for.

From the dropdown at the bottom left of the users table, select Enable single
sign-on with CRM.

Instead of an Administrator enabling Single-Sign On, a user can enable.
1. In Pardot, hover over your email address in the top right to see your settings.

2. Click Settings.

If incorrect or absent, click Edit My User Information to change or add it. If your
username is correct, click Verify Now after the name.

Enter your salesforce.com password when prompted and click Verify.

You will receive a message letting you know whether or not this was successful.
If successful, log into salesforce.com and click on the Pardot tab. You should be
able to go directly into the application without logging into Pardot separately.
Each of your employees will need to perform these steps to utilize the single
sign on. Note that if your salesforce.com username or password changes, you
will need to make the same change within Pardot.

Now that you have installed the Pardot AppExchange App and edited your
salesforce.com layout, the next step is to map any custom fields (prospect and
account) that you‘ve created in Pardot. This will enable Pardot custom fields to sync
back and forth.
1. Let‘s begin with mapping Custom Prospect Fields. In Pardot, hover over Admin.
Then hover over Configure Fields and click on Prospect Fields.

2. Click on + Add Custom Field.

3. Enter a Name for the custom field. The name should correspond with a custom
field in salesforce.com.
4. The Custom Field ID field will auto-populate with the name you entered above.
Leave as is.

5. Select a custom field from the salesforce.com Field Name drop-down menu.
6. The Type field and any relevant information will auto-populate.

7. Click Create Custom Field.

Repeat these steps to add all of the salesforce.com Lead and Contact custom
fields that you want to sync with Pardot.
Now that we‘ve mapped Custom Prospect Fields, let‘s map an Custom Account
Fields that you‘ve created in your account!

1. In Pardot, hover over Admin. Then Hover over Configure Fields and Click
on Account Fields.

Click on + Add Custom Field.

Enter a Name for the custom field. The name should correspond with a custom
field in salesforce.com.

The Custom Field ID field will auto-populate with the name you entered above.

Select a custom field from the salesforce.com Field Name drop-down menu.

You did it! Repeat these steps to add all of the salesforce.com Account custom fields
that you want to sync with Pardot.
Which custom salesforce.com fields won‘t sync with Pardot?
– Formula fields
– Lookup fields
– Record Type fields
– Geolocation fields
– Text Area (rich) fields
If a custom salesforce.com field is in use by any Pardot field, it won‘t display as an
option to map.
If you‘re using a custom field in salesforce.com on both leads and contacts, we pull
the name of the salesforce.com field from the contact field ID.

Any time you don‘t see the field name you wish to map, click the green ―refresh‖
arrow to have the connector pull a fresh list of all fields we can ―see‖ and that aren‘t
already in use.

Before You Begin… Before you begin, make sure you understand the nuances of activating your CRM Connector: http://www.pardot.com/faqs/best-practices/things-to-knowbefore-activating-your-crm-connector/ I would highlight the following about the salesforce.com Connector – – – – Pardot uses email address as unique identifier salesforce.com will be the database of record (except for a few Pardot specific fields) Prospects must be assigned a user to be automatically created in salesforce.com.   • 7. Whitelist Pardot’s IP Addresses To allow Pardot to make API calls to your salesforce.com instance, you must grant access to Pardot‘s IP Addresses. Let‘s start! 1.   • 16. Enable the salesforce.com Connector 1. Log into Pardot: https://pi.pardot.com/ 2. Hover over Admin in the navigation bar. Then click Connectors in the resulting dropdown. Lastly, click on + Add Connector button. Pardot Training :: salesforce.com Connector Configuration
  • 17. Enable the salesforce.com Connector 3. Select salesforce.com from the list of vendors. 4. Enter a name for the connector that will only be used internally (e.g. ―salesforce.com Pardot Connector‖) Pardot Training :: salesforce.com Connector Configuration

Enter your salesforce.com Username and Password. – Note that if your salesforce.com password changes, it must be changed here as well to maintain the connection. At a minimum, the connector user entered needs to have access to the following in salesforce.com: • Create, update, and read all leads • Create, update, and read all contacts • Create all tasks • Read all users • Read all campaigns • Read/write Change Log object Pardot Training :: salesforce.com Connector Configuration
  • 19. Enable the salesforce.com Connector From here, you can click Create connector button to save the new connection, but you will likely want to choose some optional salesforce.com-specific settings in the connector first. Pardot Training :: salesforce.com Connector Configuration

Enable the salesforce.com Connector Option Effect Automatically create prospects in Pardot if they are created in Salesforce.com This enables a trigger to set any newly created leads or contacts in salesforce.com to sync down to Pardot. This won‘t happen for historical leads or contacts, only those created after installing the Pardot AppExchange package in salesforce.com, and will only work for leads and contacts created with an email address. If this feature is enabled later on, any leads and contacts with email addresses that were created after the Pardot package was installed in salesforce.com will be pushed down to Pardot. Select a Default campaign from the dropdown for any prospect created with this option. Automatically change emails in Pardot to reflect changes in salesforce.com If a email address of a lead/contact is updated in salesforce.com, the Pardot prospect will be updated to reflect this change. Exclude salesforce.com ―Partner‖ and ―Customer Portal‖ users from Prospect assignment his option will exclude salesforce.com Partner and Customer Portal users from displaying in the ―CRM Username‖ dropdown when you edit a user in Pardot. Allow editing of Prospect lists within the CRM Checking this box allows CRM users to add/remove prospects from Pardot lists from within the CRM. If you check this box, you must add the VisualForce elements to your Lead and Contact page layouts. Connect to a salesforce.com sandbox account This option gives you the ability to connect to a salesforce.com sandbox account. Pardot Training :: salesforce.com Connector Configuration

Enable the salesforce.com Connector Option Effect Sync emails with the CRM This automatically logs an activity for every email sent to a prospect (list, drip, autoresponder and 1-to-1 prospect emails). NOTE: This can quickly fill up your activity views, especially on an account object. Disabling Email Logging in Pardot is not retroactive. If you sense that the email logging might interfere with your workflow in salesforce.com, it is recommended that you do not enable ‗Sync emails with the CRM.‘ Sync plugin emails with the CRM This logs an activity for any emails your users send via Pardot for Microsoft Outlook, our Thunderbird extension, our Apple Mail plug-in, or our add-in for Gmail. Enable salesforce.com emails for task creation Enables salesforce.com to send a notification email to your user when a task is created. Enable salesforce.com emails for assignment rules Enables salesforce.com to send a notification email to your user when assignment rules run. Enable salesforce.com emails for user and queue assignments Enables salesforce.com to send a notification email to your user when an assignment takes place to a user or queue.   • 23. Enable the salesforce.com Connector 6. When finished, click Create Connector button. 7. Your salesforce.com connector will now appear in the connectors table. It automatically saves as Not Verified. Click Verify Now to deploy the connection. – If Pardot is able to successfully send and receive data to and from salesforce.com, the status will change to checkmark denoting a proper integration. Install the Pardot AppExchange Application The Pardot connection with salesforce.com requires that certain custom fields and scripts be in place in order for Pardot to leverage the salesforce.com API most efficiently. Keep in mind, salesforce.com limits API usage based on edition type– specifically, the number of API requests (or calls) that an organization may execute concurrently or within a 24-hour period. You can contact the Pardot Solutions team (click the ―Support‖ tab on the left or the ―Contact Support‖ button on the right) if you feel that you may not have enough API calls available to your organization to sync frequently with Pardot. Mapping your Lead Fields to Contact Fields Pardot naturally creates new Leads in salesforce.com; when you convert that Lead to a Contact, the Contact may not show all data from the Lead record unless you make sure to first map your Lead to Contact fields in salesforce.com. 1. To have the Pardot fields display you will need to edit some of your salesforce.com settings. This section will walkthrough configuring for the Lead Layout Page. This also prevents salesforce.com users from having to enter their Pardot username and password in order to view an iframe in a lead or contact record. Administrators can enable single sign-on for their users in Pardot, either through user import, at the individual user level, or by following the next steps.
