Capelle – Training Management System
o The owned self-developed system was already 10 years, Capelle was not able to make modification in the system to
include new requirements
o No central filing system which caused inconsistence in the process.
o Team member unable to cover each other duties during urgent leave due to inconsistence in the process
o System not accessible outside company network, hence admin team has to stay overtime in office to complete.
o Assignment of work done manually, hence work not evenly distributed which caused inefficiency
o Duplicated work & effort between admin & finance as no integration was done
o Actual transaction & finance record not aligned which caused business review & heath not accurate, causing delay
of invoice & account receivable
o Resources booked by account manager without confirmed contract which caused poor management of resource
o Physical documentation of contract, attendance & important documents were all filed & stored for audit. However,
sometime unable to locate paperwork.

Enercov – Customised Service Tracking System
o Service reports using paper and handwritten.
o Maintenance issues are not digitized, which makes it
difficult to carry out any credible form of analysis and
correlation.
o Manual tracking for installation maintenance schedule,
which lead to manual allocation of technician which
might not be best fit for that air-con model. Result in
waste of resources due to extra time spend resolving
issue.
o Missing or double servicing of air-con unit due to
manual tracking for maintenance schedule
o Compressor only replaced when breakdown, which
caused client constantly doing firefighting

high reusability and achieve “enter once use many”. Each unique piece of data
should be entered only once, and referenced from elsewhere (instead of re-
entering)

Appendix A – Aidha System Requirement

Note:
Accessible from Windows, iOS and Andriod OS. – Application developed will be Browser based.
Compatibility with Microsoft365 (Sharepoint, Calender, Teams) – Application will have own calender scheduling.

Note:
Eligibility for grant funding – RICE had completed a few projects that client received grant from NCSS.
However, approval is still subject to individual sponsor criteria which RICE will assist in providing relevant
support when necessary.

Note:
Calendar information exportable to other standard calender platform. – Need more details to advise.
Uploading & Tracking of student class activities – User will have to tick manual whenever completion of
activities. Application will have uploading function, however, suggest to separate uploading files to another
platform to avoid data corruption & speed of application.

Note:
Reports – As long as data is inputted it can generate report. Suggest to do raw report so that respective user
can filter required data as necessary.

Note:
Invoice – Need more details. RICE has the capability to API to PayPal payment gateway.
Cash expenses, e-receipt generation, discretionary write-off outstanding amounts – These functions should be
under Accounting software/application not in this Learning Management system

Project Timeline
Upon kick-off, the project will be implemented based on the following targeted timeline:

Deployment, Warranty, Maintenance
• During development stage, the system will be placed onto a staging server for user testing
• Upon sign-off of user acceptance tests, the system will be placed onto production server
• Upon placing on production, a warranty period of 90 days will cover the bug fixes
• Upon the expiration of warranty, an industry standard charge of $220 / man-hour rate will
apply for any system work done, including bug fixes
• Annual maintenance contract will be made available at $5K / year, with 25 man-hours
available to be used for bug fixes and enhancements if required. Unutilized man-hours will
not be refunded but can be carried forward to the next year for up to 2 years.
